Journey to Oxford

Traveling to Oxford for your summer programme should be exciting, not stressful. At Oxford Horizon Academy, we provide comprehensive guidance and support throughout your travel planning and visa application process, ensuring you arrive safely and are ready to begin your Oxford experience from day one.

Visa Information and Support

International students attending our summer programme typically require a UK Standard Visitor visa, depending on their nationality and age. While visa applications remain the responsibility of students and parents/guardians, our team provides extensive support throughout the process.

We supply you with a formal Letter of Admission on Oxford Horizon Academy letterhead, detailing your course information, dates, accommodation arrangements, and fees. This letter is an essential part of your visa application and demonstrates to UK Visas and Immigration (UKVI) that you're attending a legitimate educational programme. Our letter includes all the information visa officers need to assess your application, including confirmation that you're enrolled in a short study course with residential supervision and that we support your return to your home country after the programme.

What You'll Need for Your Visa Application

Your visa application will require several documents, and we're here to guide you through the process:

  • Our Letter of Admission (provided by Oxford Horizon Academy)

  • Valid passport with at least 6 months validity beyond your travel dates

  • Evidence of funds showing you can afford the course fees and living expenses

  • Proof of accommodation (included in our letter confirming we provide residential accommodation)

  • Return travel arrangements or evidence of your intention to return home

  • Parental/Guardian consent letter


We recommend applying for your visa as soon as you receive your admission offer and Letter of Admission. Visa processing times vary by country — typically 2-8 weeks — so early application is essential. Our admissions team will provide specific guidance on timing based on your nationality and circumstances, and we're available to answer questions throughout the visa process.

Please note that visa application costs are not included in your programme fee and remain the responsibility of students and parents/guardians. However, our comprehensive support significantly simplifies the process.

Airport Transfers – Arrival & Departure

Airport transfers from and to London Heathrow Airport by coach are included in your programme fee. Our team coordinates directly with you when you book your flights to arrange pickup and drop-off times that align with your arrival and departure schedule.

On your arrival day, our staff will be waiting for you at the designated meeting point at London Heathrow Airport with clear Oxford Horizon Academy signage. We'll greet you, confirm your details, and accompany you on the comfortable coach journey to Oxford (approximately 90 minutes). Throughout the journey, our team will brief you on what to expect, answer any questions, and help you feel at ease as you begin your Oxford adventure.

The same personalised service applies on departure day. We'll coordinate your return transfer to ensure you arrive at the airport with plenty of time for check-in and security, providing a stress-free end to your programme.

Support for Unaccompanied Minors

For unaccompanied minors (students under 18 traveling without parents or guardians), we provide additional layers of support to ensure safety and peace of mind:

  • Our team coordinates closely with your airline regarding any unaccompanied minor services they provide. We ensure our authorized staff are cleared to meet you at the airport with all necessary documentation. Our pickup procedures follow strict protocols—our staff will present identification, confirm your identity using passport and enrollment records, and maintain contact with your parents/guardians throughout the pickup and journey to Oxford.

  • Your parents or guardians will receive detailed travel guidance in your pre-arrival pack, including our staff's contact information, pickup procedures, expected arrival time in Oxford, and emergency contact numbers. We maintain continuous communication, updating parents when you've been collected from the airport, when you've arrived safely in Oxford, and once you're settled in your accommodation.

  • For departure, we coordinate with your parents/guardians to ensure they know your flight details and expected arrival time back home. We stay with you until you've checked in and, for younger students, we coordinate with airline staff to ensure you're safely handed over for the flight.

Pre-Arrival Information Pack

Approximately three weeks before your programme begins, you'll receive a comprehensive pre-arrival guide containing everything you and your parents need to know:

  • Detailed travel instructions and airport transfer logistics

  • Complete packing list (clothing for UK weather, formal attire for dinners, academic materials, toiletries, UK plug adapters)

  • Programme schedule and daily routine

  • Accommodation address and room information

  • Safety policies and supervision procedures

  • Emergency contact numbers (24-hour emergency line, local services, college contact)

  • What to expect on arrival day Any final documentation or forms needed


This guide is designed to answer all your questions and ensure you arrive fully prepared and confident.

Staying Connected – Parents and Guardians

Parents and guardians remain fully connected throughout your journey and stay. Our 24-hour emergency contact line is staffed at all times, and we maintain our parent/guardian contact policy of regular updates on your wellbeing, academic progress, and experiences. If any travel disruptions occur (flight delays, missed connections), you or your parents can reach our team immediately for support and guidance.

We understand that sending your child overseas is a significant step, and we're committed to making the experience as smooth and reassuring as possible. From visa applications to airport pickup, from daily updates to safe return home, Oxford Horizon Academy is with you every step of the way.

Comprehensive travel insurance is mandatory for all Oxford Horizon Academy students. Your insurance must cover medical treatment, travel delays, and personal belongings for the entire duration of the summer school. This requirement protects you and your family from unexpected costs and ensures you have access to appropriate medical care if needed during your stay in the UK.

Your travel insurance should include coverage for emergency medical treatment and hospitalisation, repatriation to your home country if medically necessary, trip cancellation or interruption, loss or theft of personal belongings, and personal liability.

Proof of comprehensive travel insurance is required before programme commencement – you'll need to submit your insurance certificate and policy details as part of your pre-arrival documentation. Our admissions team will confirm that your coverage meets all necessary requirements and can recommend reputable insurance providers if you need guidance. While travel insurance is an additional cost not included in your programme fee, it's an essential investment in your safety and peace of mind.
